This Privacy Policy explains how Philipp Weber Coaching (“we”, “us”, the “Controller”) collects and uses your personal data, and the rights you have. We process personal data in accordance with the EU General Data Protection Regulation (GDPR). Data we collect

We collect the following categories of personal data:

  • Information you provide: your name, contact details, and the information you share with us during onboarding and coaching (including goals, training, nutrition, and lifestyle information).
  • Health information: conditions, injuries, or limitations you choose to share so we can coach you safely (see section 2).
  • Enquiries and communications: when you contact us or express interest in coaching — for example via WhatsApp, Instagram, email, or a form on our website — we collect and store the information you provide and our messages with you.
  • Payment data: the information needed to process your payments (handled by our payment provider).
  • Website and technical data: data collected via cookies and similar technologies when you use our website (see section 7).

Health data (special category)

Coaching may involve information relating to your health, such as conditions, injuries, or limitations you share. This is a special category of personal data under Article 9 GDPR.

We process this data only on the basis of your explicit consent (Art. 9(2)(a) GDPR), for the purpose of delivering, documenting, and improving your coaching.   • To process health information — on the basis of your explicit consent (Art. 9(2)(a) GDPR).
  • To respond to enquiries and follow up with prospective and current clients, and to document and improve our service quality — on the basis of our legitimate interests in running and improving our coaching business (Art. 6(1)(f) GDPR).
  • To record sessions for documentation and quality — on the basis of your consent (Art. 6(1)(a) GDPR).
  • To send marketing — only where you have opted in (Art. 6(1)(a) GDPR).
  • To meet legal obligations — such as accounting and tax requirements (Art. 6(1)(c) GDPR).

Recordings and notetaking

Where we record video calls — for example via Zoom or comparable meeting-recording and notetaking tools — we do so with your consent, for documentation and quality purposes. Recordings and transcripts are stored within the respective tool and used internally within the coaching. You can withdraw your consent to recording at any time, with effect for the future.

Tools and who has access

We use third-party tools to deliver and support the coaching, which may include WhatsApp, Zoom, meeting-recording and notetaking tools, Loom, Trainerize, Asana, Google Drive, Microsoft OneDrive, GoHighLevel (our website and client-management platform), and Stripe (payments). These providers process data on our behalf.

Within our business, your data may be accessed by our team (for example assistants and further coaches) and, for quality assurance, by a professional supervisor — all bound to confidentiality and acting on our instructions.

Some of these providers are based outside the EU/EEA (for example in the USA), which means your data may be processed there.

Cookies

Our website uses cookies and similar technologies. Essential cookies are required for the website to function. Non-essential cookies (such as analytics or marketing cookies) are only set after you give consent through our cookie banner. You can change or withdraw your cookie choices at any time via the banner or your browser settings.

Marketing communications

We send marketing or promotional emails only where you have opted in. You can withdraw your consent or unsubscribe at any time using the link in any marketing email, or by contacting us. This does not affect service-related messages needed to deliver your coaching.

We keep your personal data only as long as necessary for the purposes described — for the duration of the coaching relationship and afterwards where still needed — and for as long as we are legally required to (for example, statutory retention periods for accounting and invoice records). You can ask us to delete your data at any time, and we will do so unless we are legally required to keep it.

Your rights

Subject to applicable law, you have the right to access your data; to have it corrected or deleted; to restrict or object to its processing; and to data portability.
